Work with Gmail and Outlook
Connect a mailbox and bring only the project's email into Research — per-project filters on addresses, subjects, labels, and categories.
Status: Available
Much of what a project decides never makes it into a document — it happens in email. Connecting Gmail or Outlook brings the relevant threads into the research graph as Email items you can highlight, label, link, and cite, without dragging the rest of your inbox in with them.
Setup
- On a paid plan, open Settings → External sources.
- Choose Gmail or Outlook and authorise the account.
- Set the filters for this project (below) and choose how far back to look — 30 days, 90 days, 6 months, or a year.
- Save. Sync starts over the lookback window you picked, and keeps up from there.
The connection is per account; the filters are per project, so the same mailbox can feed two projects entirely different mail.
Filters decide what is kept
An email is kept when any active rule matches. Everything else in the mailbox is ignored — the default is to bring in nothing until you say what counts.
| Rule | Matches |
|---|---|
| Any of the following email addresses | Everyone on the project's People tab, your team, and the project owner |
| Also these addresses or domains | Extra addresses, or a whole domain written as @acme.com |
| The project name in the subject line | The project's name as a whole phrase |
| Keywords in the subject line | Anywhere in the subject, ignoring case |
| Labels (Gmail) / Categories (Outlook) | The labels or categories on the message, including nested Gmail labels |
Two controls narrow it back down:
- Never include — addresses or domains that win over every rule above, for anyone on the thread.
- Include newsletters and no-reply senders — off by default, because bulk mail that happens to match a keyword is usually noise.
If no rule is active, Crux warns you rather than syncing silently: nothing would be kept.
Changing the filters and saving restarts the sync over the lookback window, so a rule you add later still picks up mail you already have.
Where the mail lands
Matching messages appear in Research as Email items, filterable by source like any other evidence. From there they behave like the rest of the graph: highlight a passage, label it, link it to the page or decision it explains, and cite it in an Ask answer.
Nothing showing up?
The empty state explains the usual causes: no rule active, filters too narrow for the lookback window, or a sync still running. Widen a rule or extend the window and save again.
